Role Summary:

The Executive Assistant to the Office of the President provides confidential administrative and coordination support to the President of Medavie Blue Cross.  He/she acts as a link between the President and internal as well as external parties.  The successful candidate delivers at an unparalleled standard of excellence in all that they do, has a proven track record of success in managing multiple complex priorities, is results-driven, is adept at and enjoys taking on new challenges, is highly motivated, and possesses a high-degree of initiative.
As an Executive Assistant your key responsibilities will include:
  • Manage complex relationships with a wide variety of internal and external stakeholders as well as the public, often requiring the management of confidential and sensitive information
  • Provide administrative support by managing all logistical requirements including but not limited to managing calendars/schedules, coordinating logistics for internal and external meetings, making travel arrangements, following-up on tasks, deliverables and quickly resolving any issues
  • Consolidate and prepare highly-confidential and complex documents as well as presentation materials for internal and external stakeholders such as senior executives at client organizations, government officials, Board members, etc.
  • Advise, assist, coordinate, and collaborate on multi-faceted projects
  • Support the coordination of board and committee related materials by providing assistance with the preparation and distribution of documentation and other requirements
  • Collaborate with Executive Support resources across the organization to manage the requirements of and for the President
  • Manage incoming correspondence, inquiries and phone calls to the Office of the President
  • Review and may approve standard departmental expenditures, maintain accounting records and prepare reports
As the ideal candidate, you possess the following qualifications:

Education:
  • We remain open to the right mix of academic qualifications. We anticipate that a University degree and/or a College Business diploma or equivalent would be in the candidate’s background
Work Experience:
  • Minimum of 5-10 years of relevant experience in a senior executive support role
  • Possesses a balance of technical skill, business knowledge, and people skills to navigate the technical and organizational challenges of operating at this senior level
Other Qualifications:
  • In-depth knowledge of MS Office products (including MS Word, Excel, PowerPoint)
  • Highly skilled at creating PowerPoint and other presentation documents
  • Strong analytical and thinking skills – solves problems independently; has the ability to see the big-picture and assess the impact decisions may have
  • Strong customer service focus – a positive attitude, diplomatic, professional demeanor; demonstrated ability to take initiative and anticipate needs along with the demonstrated ability to develop creative solutions within appropriate parameters
  • Superior organizational skills – possesses high attention to detail; good project management skills to coordinate and lead a variety of initiatives; proven multi-tasker who can accomplish a multitude of tasks with conflicting priorities and timelines
  • Demonstrated team player who gets along well with others and is able to build and leverage relationships
Language Skills:
  • Bilingual (English and French) preferred but not required
  • Highly developed written and verbal communication skills
  • Proven ability to communicate on complex matters with both internal and external parties
